Job Purpose
The Senior Secretary will provide high-level administrative and secretarial support to the Country Manager and Administration team. The role requires a detail-oriented professional to manage schedules, facilitate internal coordination, and ensure smooth day-to-day operations, including accurate and organized record-keeping.
Key Responsibilities
- Efficient Filing & Document Management
Develop and maintain a well-organized filing system (both physical and digital). Ensure all records are current, accessible, and ready for audits. - Training Coordination
Liaise with relevant departments to identify training needs. Arrange appropriate onboarding and ongoing training for both new and existing staff. - Calendar & Travel Management
Manage the Country Manager’s calendar, organize meetings, and coordinate travel and appointments with efficiency and discretion. - Liaison & Communication
Act as a key communication link between the Country Manager and internal/external stakeholders. Distribute vital information and support departmental coordination. - Confidentiality & Compliance
Ensure all data handling complies with Emirates’ standards and data protection protocols. Maintain readiness for audits with precise and confidential documentation. - Inventory Oversight & Event Support
Monitor office supplies, maintain stock levels, and support event planning by managing guest lists and distributing invitations. - Cross-functional Administrative Support
Assist with office-related matters including renovations, communication costs, rentals, and logistics in collaboration with various departments. - Relationship Management
Build and maintain strong professional relationships with internal teams and external partners. Stay updated on departmental developments to provide proactive support.
Required Skills & Qualifications
- Strong command of spoken and written English.
- Ability to interact professionally with internal and external stakeholders.
- Highly organized, proactive, and capable of working under pressure.
- Minimum of 12 years of schooling or equivalent in Administration or General Administration.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
