Role Overview

The Administration Officer will play a vital role in managing the day-to-day operations of TREES Tanzania’s office. Acting as the organization’s first point of contact, this role ensures efficient front desk services, smooth office administration, and effective coordination across departments.

You’ll support the executive functions of TREES with professionalism, attention to detail, and a commitment to creating an organized and responsive work environment.

Key Responsibilities

1. Front Desk & Reception Services

  • Serve as the first point of contact for staff and visitors, ensuring a professional and welcoming atmosphere.
  • Manage front desk operations, handle incoming calls, emails, and inquiries efficiently.
  • Maintain a clean, well-organized reception and office environment.
  • Manage courier deliveries, mail, and document processing following organizational procedures.
  • Assist with administrative purchase requisitions and invoice uploads.

2. Office Management & Maintenance

  • Oversee office facilities, ensuring safety, security, and proper maintenance.
  • Coordinate with service providers and security personnel for smooth operations.
  • Maintain office supplies inventory and ensure timely reordering.
  • Manage relationships with vendors and service providers to ensure quality and timely delivery.
  • Supervise drivers and manage logistical support for the organization.

3. Travel & Logistics Coordination

  • Arrange domestic and international travel for staff and visitors.
  • Prepare travel itineraries, bookings, and all related documentation.
  • Ensure visitors receive proper orientation and support during their stay.

4. Meeting & Event Support

  • Coordinate logistics for meetings, trainings, and internal or external events.
  • Prepare meeting agendas, take minutes, and maintain accurate records.
  • Manage event schedules and ensure all participants have the necessary materials.

Qualifications & Experience

  • Bachelor’s degree in Administration, Office Management, or a related field.
  • Minimum 3 years of experience in administrative or office support, preferably in a non-profit or development organization.
  • Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Familiarity with digital filing systems and communication tools.
  • A proactive approach and strong interpersonal skills.
